The terms under which Asia Mail Services provides business email hosting.
Last updated: 10 September 2026. These terms apply to all customers from the date of their acceptance and replace any previous version.
These Terms of Service (the “Terms”) form an agreement between Asia Mail Services (“we”, “us”, “the Provider”) and the company or individual that subscribes to the service (“you”, “the Customer”). By ordering, activating or using any part of the service, you accept these Terms and the Acceptable Use Policy, which forms part of them.
We provide managed business email hosting: mailboxes on a domain that you control, webmail with calendar and contacts, mobile and desktop access over IMAP, SMTP submission and ActiveSync, spam and malware filtering, and configuration of email authentication (SPF, DKIM and DMARC) for the domains you host with us.
The service is designed for conversational business correspondence. It is not a bulk mailing, marketing automation or transactional mail platform, and must not be used as one.
The service is offered to businesses. Before an account is activated, we verify the identity of the subscribing company — a business licence for companies registered in China, a CNPJ registration for companies registered in Brazil, or an equivalent document elsewhere.
You confirm that the information you give us is accurate, that you are authorised to act for the company, and that you control the domains you ask us to host. We may refuse or reverse an activation where verification fails or where the information given proves to be false.
Your use of the service is governed by our Acceptable Use Policy. It prohibits, among other things, unsolicited bulk mail, marketing campaigns to purchased or scraped lists, phishing, malware distribution and any attempt to disguise the origin of a message.
The reputation of our sending infrastructure is shared by every customer on the platform. We therefore enforce that policy technically as well as contractually, including outbound rate limits and outbound content filtering.
Plans are sold as an annual subscription, payable in advance. Setup and migration fees, where applicable, are one-off and payable with the first invoice. Prices are quoted in US dollars and may be settled in BRL or CNY at a rate we state at the time of quotation.
We will contact you before the end of each subscription period. Renewal is not automatic: the service continues when the renewal invoice is paid. If a renewal invoice is not settled by the renewal date, we may suspend the account, and will retain your data for the period described in clause 8 before it is deleted.
Fees already paid are not refundable in part when an account is cancelled mid-term, except where the law of your jurisdiction requires otherwise or where we have failed to provide the service.
We aim to keep the service continuously available and monitor it from outside our own infrastructure. We do not, at present, offer a contractual uptime guarantee or service credits, and we prefer to say so plainly rather than publish a figure we have not committed to underwrite.
Planned maintenance that we expect to interrupt service is announced in advance by email. Emergency maintenance — a security patch, for instance — may be applied without notice, and we will tell you what was done afterwards.
Support is provided by email in Portuguese, Chinese and English, within the response times published on our Contact page.
The content of your mailboxes belongs to you. We process it to provide the service, and for no other purpose — we do not read it for advertising, and we do not sell or share it. Our Privacy Policy describes what we collect and where it is stored.
We take daily encrypted backups, held separately from the production system. Backups exist to recover the platform; they are not a substitute for your own archiving obligations, and we recommend that you keep an independent copy of correspondence you are required to retain.
On termination, we retain mailbox data for 30 days so that it can be exported, and then delete it. You may request an export in a standard format at any time while the account is active, and during those 30 days.
You may cancel at any time by writing to us; the service then runs to the end of the paid period. We may suspend or terminate an account where the Acceptable Use Policy is breached, where an account has been compromised and is being used to send abusive mail, where verification proves false, or where fees remain unpaid after notice.
Where the breach is serious and ongoing — an account actively sending spam or phishing, for example — we will suspend first and inform you immediately afterwards, because the alternative is damage to every other customer on the platform.
We provide the service with reasonable skill and care. To the extent permitted by law, our total liability to you for any claim arising out of the service is limited to the fees you paid for the twelve months preceding the event giving rise to the claim.
We are not liable for loss of profit, loss of business or indirect loss, nor for failures caused by matters outside our reasonable control — including network censorship or filtering by a third party, the delivery decisions of a receiving mail provider, or DNS records changed at your end.
We may update these Terms. Where a change materially affects your rights, we will give you at least 30 days' notice by email before it takes effect, and you may cancel and receive a pro-rata refund of the unused period if you do not accept it. The date at the top of this page always shows the current version.
These Terms are governed by the laws of the Federative Republic of Brazil, and the courts of that jurisdiction have exclusive competence, without prejudice to any mandatory consumer or data protection rights available to you locally.
